Privacy Policy 

Community Legal Services of Mid-Florida, Inc. (“Company,” “we,” “us,” or “our”) is a nonprofit civil legal aid, grant-funded law firm serving 12 counties in Central Florida: Brevard, Citrus, Flagler, Hernando, Lake, Marion, Orange, Osceola, Putnam, Seminole, Sumter, and Volusia.  

 This Privacy Policy describes how we use, share, and protect personal information collected through our website (http://clsmf.org). This Privacy Policy also tells you about your choices with respect to your personal information, and how you can reach us to get answers to your questions.  

INFORMATION WE COLLECT 

We collect information about you in a variety of ways depending on how you interact with us and our website and services, including:  

  • Directly from you when you provide it to us, such as when you contact us electronically, by email, or otherwise.  
  • Automatically through the use of cookies, server logs, and other similar technologies when you interact with our website and emails.  
  • From other sources, including, for example, service providers, online social media networks, and other third parties.   

The following provides examples of the type of information that we collect through our websites and how we use that information.

Cookies and First-Party Tracking  We use cookies and clear GIFs. “Cookies” are small pieces of information that a website sends to a computer’s hard drive while a website is viewed.  We use this information to make our website operate efficiently.  
Cookies and Third-Party Tracking  We may place tracking technology on our website that collects analytics, records how you interact with our website, or allows us to participate in behavior-based marketing. This means that a third party uses technology (e.g., a cookie) to collect information about your use of our website so that they can report analytics to us or provide advertising about products and services tailored to your interests.   We use this information to ensure our marketing efforts reach relevant audience.  
Email Interconnectivity  If you receive email from us, we may use certain tools to capture data related to when you open our message, click on any links or banners it contains.  We use this information to understand how you interact with our communications to you. 
Mailing List  When you sign up for our mailing lists, we collect your email address or postal address.    We use this information to share services with individuals that consent to receive such information.  
Website interactions  We use technology to monitor how you interact with our website. This may include which links you click on, or information that you type into our online forms. This may also include information about your device or browser.  We use this information to understand how you interact with our website to better improve it, and to understand your preferences and interests in order to select offerings that you might find most useful. We also use this information to detect and prevent fraud. 
Web logs  We collect information, including your browser type, operating system, Internet Protocol (IP) address (a number that is automatically assigned to a computer when the internet is used), domain name, click-activity, referring website, and/or a date/time stamp for visitors.  We use this information to monitor our networks and the visitors to our websites. 
SMS communications  We sometimes collect phone numbers and use these to contact a person about the services CLSMF provides or provided.  We will not sell or share your email address, telephone number, mailing address, or any other personal and non-public information with any telemarketer or marketing agency.  

 

If you click on an online client application on our website, our website will redirect you to a different website built on the LegalServer platform. If you click on a link to make a donation on our website, our website will redirect you to a website built on the HubSpot CRM platform. The chatbot system which includes AI features is run by LawDroid. None of these sites or services are owned or operated by us, but we may receive information from these third parties regarding your application or your donation, as applicable. For example, if you choose to complete an online client application, the information you share through the LegalServer platform will be sent to us through a secure case management system and used to process your application, and, if applicable, provide services to you. If you make a donation through the HubSpot platform, your name, donation amount and donation instructions will be sent to us to process your donation, and you may choose to share your contact details with us to receive updates via our mail list. Payment information is not collected or stored by us, because we use third party payment service providers. The websites and third-party content to which we link may have separate privacy notices or policies. Please note that we have no control over the privacy practices of websites or services that we do not own. We encourage you to review the privacy policies posted to any third-party website or application for details about such third party’s privacy practices. 

HOW WE USE INFORMATION 

In addition to the purposes and uses described above, we use information in the following ways:  

  • To provide and improve our services; 
  • To conduct analytics; 
  • To communicate with you, such as to respond to and/or follow-up on your requests, inquiries, issues, or feedback;  
  • To send materials such as newsletters that include information relating to our services; 
  • To detect and protect against malicious, deceptive, fraudulent, or illegal activity, including violation of our policies and terms and conditions, security incidents, and harm to the rights, property, or safety of our company and our users, employees, or others; 
  • To debug, identify, and repair errors that impair existing intended functionality of our website and services; 
  • To comply with our legal or regulatory obligations, to establish or exercise our rights, and to defend against a legal claim; 
  • For internal administrative purposes, as well as to manage our relationships; or 
  • For such other purposes as you may consent (from time to time). 

HOW WE SHARE INFORMATION 

In addition to the specific situations discussed elsewhere in this Privacy Policy, we may disclose personal information in the following situations:  

  • Service Providers: We and our service providers may use the personal information described in this Privacy Policy, including the following: 
  • Administering our website and related services, resources, and business including responding to your inquiries, fulfilling your requests, and providing you with related customer service;  
  • Personalizing our website for you by presenting services tailored to you; 
  • Sending you email notifications that you have specifically requested; 
  • Sending you our email newsletter if you have requested it. You can inform us at any time if you no longer want to receive the newsletter – opt-out by clicking the “unsubscribe” link; 
  • Sending you SMS messages if you have requested it. You can inform us at any time if you no longer want to receive text messages – opt-out by replying “Stop”; 
  • Sending you marketing communications by mail or, where you have specifically agreed to this, by email or similar technology (you can inform us at any time if you no longer want to receive marketing communications.); 
  • Dealing with inquiries and complaints made by or about you relating to our website; 
  • Verifying compliance with the terms and conditions governing the use of our website; and 
  • For our business purposes, such as data analysis, audits, fraud monitoring and prevention, developing new products, enhancing, or improving or modifying our services, identifying usage trends, determining the effectiveness of our promotional campaigns, and operating and expanding our business activities. 
  • Acquisitions. If another entity merges with us or acquires, or plans to merge with or acquire, our organization or our assets, we will share information with that entity, including at the negotiation stage.  
  • Other Disclosures without Your Consent. We may disclose information in response to subpoenas, warrants, or court orders, or in connection with any legal process, or to comply with relevant laws. We may also share your information in order to establish or exercise our rights, to defend against a legal claim, to investigate, prevent, or take action regarding possible illegal activities, suspected fraud, safety of person or property, or a violation of our policies, or to comply with your request for the shipment of products to or the provision of services by a third-party intermediary. 
  • Other Disclosures with Your Consent. We may disclose your information to other third parties when we have your consent or direction to do so.  

YOUR CHOICES 

You may make the following choices regarding your personal information: 

  • Access & Deletion. You can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you, although note that we may refuse this request if obliged to keep such information for administrative, legal, or security purposes. To request a record of the data we keep or to erase your personal data, please email [email protected] 
  • Promotional Emails. You may choose to provide us with your email address for the purpose of allowing us to send free newsletters, surveys, and other promotional materials to you, as well as targeted offers from third parties. You can stop receiving emails by following the unsubscribe instructions in emails that you receive. If you decide not to receive promotional emails, we may still send you service-related communications.  
  • Promotional Mailings. If at any time you do not want to receive mail from us, you can remove yourself from our mailing lists by emailing us (our contact information is below) with “NO SNAIL MAIL” in the subject line along with your name, address, and zip code. Please note that our mailings are prepared in advance of their being sent. Although we will remove your name from our mailing list after receiving your request, you may still receive mailings from us that had been initiated prior to your name being removed. 
  • Do Not Track. When your computer or mobile device such as a smartphone or tablet sends or receives information over the Internet, the request begins with some short pieces of information called “headers.” These headers include information like what browser you are using, what language your computer is set to, and other details. The Do Not Track technology provides individual users with the ability to include a simple, machine-readable header indicating that they don’t want to be tracked, and sends a signal to our website when you visit it that requests that our site disable either its tracking or cross-site user tracking.   • Cookies and Trackers: If you choose, you can opt-out of the use of certain cookies by turning off third party cookies in your browser settings. You can opt-out from being tracked by Google Analytics by downloading and installing Google Analytics Opt-out Browser Add-on for your current web browser. You may also note your cookie preferences by doing so at Opt-out of Internet Advertising at Network Advertising Initiative. Finally, you may opt-out by turning off cookies in the preferences settings in your browser. 

HOW WE PROTECT AND RETAIN INFORMATION 

No method of transmission over the internet, or method of electronic storage, is fully secure. While we use reasonable efforts to protect your personal information from unauthorized access, use, or disclosure, we cannot guarantee the security of your personal information. In the event that we are required by law to inform you of a breach to your personal information we may notify you electronically, in writing, or by telephone, if permitted to do so by law. 

We retain your personal information for only as long as necessary to fulfill the purposes outlined in this Privacy Policy, including for the purposes of satisfying any legal, accounting, or reporting requirements, unless a longer retention period is required or permitted by law. To determine the appropriate retention period for personal information, we consider the amount, nature, and sensitivity of the information, the potential risk of harm from unauthorized use or disclosure of the information, the purposes for which we obtained the information and whether we can achieve those purposes through other means, as well as applicable legal requirements.  

EMBEDDED THIRD-PARTY APPLICATIONS/WEBSITES 

Articles on our website sometimes include embedded content (e.g., videos, images, articles, etc.). Embedded content from other websites behaves in the same way as if the visitor has visited the other website. These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website. 

CHANGES TO THIS PRIVACY POLICY 

We may change our privacy policy and practices over time. To the extent that our policy changes in a material way, the policy that was in place at the time that you submitted personal information to us will generally govern that information unless we receive your consent to the new privacy policy. Our privacy policy includes a “last updated” date. The last updated date refers to the date that the current version was last substantively modified. If we make a material change to our privacy notice, we will attempt to notify you through email or through a website pop-up. 

CHILDREN 

We do not intentionally or knowingly collect, use, or disclose personally identifiable information about visitors to our website that are less than 18 years of age. If a child under the age of 18 submits information to us through any part of the website and we become aware that the user submitting the information is under the age of 18, the information provided will be deleted as soon as it is discovered and not used for any purpose.
